Local archive maintenance
The state of Bavaria is characterized by a rich archive landscape. The archives of cities, large district cities, markets, municipalities and administrative communities play a very important role, even after the number of institutions. However, not all municipal archives are managed by a specialist archiver. In particular, the archives of the smaller markets and municipalities are often only supervised alongside or volunteers and therefore require expert consultation.
The professional support of the municipal archives is carried out by the state archives for their respective governmental district as well as at the level of the districts of the archive maintainers ordered for this purpose. The archivists are ordered by the Directorate-General of the Bavarian State Archives, which also formulates the guidelines of municipal archive maintenance and is switched on in principle.
In Bavaria, one or more volunteers are ordered for each county. Their official function is underlined by order certificate and identity card. Responsibility extends to all municipal archives of their explosives, which are not managed by specialist archives or by public authorities. They advise the municipalities on all issues of municipal archiving, especially when
- to prepare archive regulations or use regulations,
- employees are instructed to order or support the municipal archives,
- archive spaces are created or set up,
- to be secreted and to decide on their archiving or destruction,
- Principles of the development of documents should be established.
The archive maintainers visit the municipalities at regular intervals and discuss all problems related to the archive. They report on the findings obtained locally to the competent state archive.
The reporting by the archive maintainers is carried out continuously in the form of formally constructed visit logs. They provide an overview of the scope, accommodation, state of order and support of municipal archives and registratures.
