Information for authorities
The state archives advise the authorities, courts and other public bodies of the Free State of Bavaria in managing and securing their analogue and digital documents.
The state archives accompany state bodies in the collection of documents. These are to be offered to the public archives if they are no longer required for the ongoing task. The state archives have the task of taking over from the offered documents those who have permanent value. The decision is made by the state archives in consultation with the offering body.
The assessment of the documents follows archival methods. For certain documents, there are assessment models that specify the nature and scope of the documents to be offered or the documents to be accepted. Selection models of this type are available in different forms: as administrative rules, in bilateral archiving agreements or in archiving documents.
Electronic documents or Data impose special requirements on the separation and archiving. In order to achieve efficient and economic solutions, we recommend early participation of state archives in the introduction and modification of electronic systems (see BayITR-01). For process support, the state archives have standardized interfaces for electronic files and for data from specialist procedures. If necessary, individual archiving interfaces are tuned, as far as possible using existing interfaces.
